Need help establishing Cross Entity ROC Permissions for the TFNRegistry™ (tfnregistry.somos.com)? This guide is the perfect resource for you and your team! The Cross Entity ROC Permissions (also known as the "Acting As" feature) allows you to act on behalf of Responsible Organizations (Resp Orgs) for which you have appropriate permissions. Your list of Resp Org ID’s to which you have appropriate permissions will be listed in the “Acting As” feature. Beginning Sunday, October 29, 2023, the "Acting As" feature will be available for ROC users on the following pages within the TFNRegistry; ROC Submit Request (RSB), ROC Search Requests (RSR), ROC LOA Upload (RLU), ROC Subscriber Notifications (RSN), and the ROC Resend Subscriber Notifications (RRN).
Your Resp Org’s Primary Contact and/or Company Administrator(s) will need to provide the Help Desk with the following requests via the Somos Portal Website (portal.somos.com) to add or update your Cross Entity and/or ROC Permissions within the TFNRegistry:
Manage Users via the User Profile: On Step 2 of the “User Profile” request please select the “ROC User” option for ROC Permissions to be added. Additionally, if you want to send a ROC Help Desk Intervention (HDI) request or a Help Desk Request (HDR) to the Help Desk for processing, you must be a Special Approver with the ROC HDI permissions or be a Company Admin for your Resp Org. You will have two options to utilize the Cross Entity ROC Permissions for your Login ID in the TFNRegistry:
Go to the RSB page. Once the RSB page is displayed, complete and submit the request like you normally would; however, you will now see your Resp Org IDs along with those Resp Org IDs that you have appropriate permissions for in the “New Resp Org ID” drop down menu. | |
In the “Acting As” drop down menu, you can select the desired Resp Org ID and then go to the RSB page. Once the RSB page is displayed, you will only see the Resp Org ID associated to the Resp Org’s ID that was previously selected in the "New Resp Org ID" drop down menu on the RSB page. |

How do I know if I have the “Acting As” feature setup for another Resp Org and/or Entity? | On the RSB page or any page that has the “Acting As” feature enabled, you can select the “Acting As” drop down menu (which is located in the upper right corner of the TFNRegistry) any Resp Org IDs that are under another Resp Org’s Entity ID that you have been granted access (including your own) will show in this drop down menu. |
I am working in the TFNRegistry ROC and I no longer see ROC requests for all of my Resp Org IDs, what do I do? | You will need to log into the Somos Portal Website and then select the “My Info” section. Once the page is displayed, select Step 5, “Resp Org ID Permissions” of the “User Profile” request. Here, you will need to verify that your Resp Org ID permissions include all Resp Org IDs within your Entity (e.g. ZA*** or ZATST, ZATS1, ZATS2, etc.). Please work with your Resp Org’s Primary Contact and/or Company Administrator(s) to update your permissions, if needed. |
What happens if I don’t have the correct permissions enabled and I use the “Acting As” feature? | You will only see your Resp Org’s IDs available on the drop down list to choose from. Also, if you retrieve the page and enter in a TFN that you don’t have permissions to you will see the following error message, “You do not have permissions for this Entity/Resp Org.” |
Do I have to use the “Acting As” feature for the “Resp Org Change Tools” menu within the TFNRegistry? |
No. For Resp Org users that have permissions to use ROC System only features in the TFNRegistry, the Acting As feature is not needed and the ROC System will continue to work as it does today. However, for Resp Org users that have permission for both TFNRegistry and the ROC System, please ensure to check and adjust your permissions in the “User Profile” request via the Somos Portal Website to work with the new Acting As changes. |
I have ROC HDI/HDR permissions, can I submit a request to the Help Desk for processing on behalf of another Entity? | No, a ROC HDI/HDR request must be submitted by the Submitting Resp Org, (Cross Entity ROC Permissions does not apply at this time). |

What’s the difference between an Entity ID and a Resp Org ID? | An Entity ID is the first two characters of your Resp Org ID. If your Resp Org ID is ZATST, for example, your Entity ID is ZA***. You can have additional Resp Org IDs under your Entity ID (e.g. ZATST, ZATS1, ZATS2, ZAXSM, etc.). |
